BUILD A BETTER BRIEF

Good decisions start with the right details.

Explore the points below to shape your enquiry. Start with what you know; we can discuss the details that need clarification.

Agricultural products with similar names can differ in variety, processing, quality parameters and suitability for an application. Share a reference specification or describe what matters to your business. If a parameter is still undecided, identify it as a question rather than treating it as an agreed requirement.

Start with the intended use. A manufacturer purchasing an ingredient may evaluate a product differently from a distributor buying retail-ready stock. Explain whether the product will be processed further, repacked, sold in its original packaging or used directly. This helps us discuss suitable supply options without substituting a general product description for your actual requirement.

A clear brief separates essential conditions from preferences. List the characteristics your business cannot compromise on, then note where you are open to alternatives. If you have an existing supplier specification, share the relevant details rather than relying only on a product photograph. Where a sample is requested, agree what it should demonstrate and how the buyer will assess it.

For repeat purchases, record the specification that was accepted and highlight any changes in a new enquiry. A previous discussion does not automatically confirm the same origin, pack size, availability or price for a later order. Reviewing these points together gives both sides a clearer basis for the next quotation.

Tell us whether the product is for processing, foodservice, wholesale distribution or retail packaging. Include order quantity, expected repeat demand and preferred packaging. Fresh, processed and dry products have different handling needs, so storage and shipment expectations belong in the brief.

Distinguish your first purchase from your longer-term demand forecast. An initial evaluation order, a one-off bulk requirement and a planned series of shipments each provide a different purchasing context. Share the quantity you need now, the period it covers and any flexibility in delivery. Minimum order quantities and scheduling remain subject to the particular product and offer.

Specify the packaging at both product and shipment level. Useful details include the preferred unit weight, whether goods will be repacked, and any pallet or handling constraints at the receiving facility. Where artwork or a private label is involved, identify who will provide and approve it. This prevents packaging assumptions from appearing only after a price has been compared.

Keep a short checklist of outstanding decisions alongside your enquiry. It can cover the final grade, sample review, packing format, delivery point and required supporting information. Send the same updated brief when discussing alternative agricultural products so that differences in the offers can be evaluated fairly. Once a suitable option is identified, confirm the agreed scope in writing before progressing.

For an international enquiry, identify the receiving country and delivery point along with buyer-required documentation. We discuss supply and trade coordination against that scope. Origin, product availability, supporting documents and commercial arrangements are confirmed in the offer, not assumed from a general catalogue.

When comparing agricultural products, use the same specification for every proposed source. For rice, describe the variety, processing and acceptable grain characteristics. For chillies, identify the form and quality parameters you need. For maize or grits, explain the intended application and any buyer-defined acceptance criteria. These details make differences between offers easier to understand.

Ask what information supports the proposed product and when it can be reviewed. A sample, specification sheet or inspection arrangement should relate to the actual supply being discussed. Confirm packaging, labelling responsibilities, storage needs and the delivery basis before comparing totals. Keep unresolved points visible in the brief rather than assuming that every quotation includes the same services.

For background research, consult APEDA’s agricultural and processed-food export resources and the DGFT portal. Product and destination requirements should be checked for the particular transaction. These references do not imply that Saina holds a specific registration or certification.
